BusinessIntents ships three kinds of templates: branded print layouts for every document, invoice templates for recurring billing, and entry templates for recurring journal entries.
The templates live inside the product and work on your own records, so there are no separate files to download and fill in.

How templates work
Every template works on the records already in BusinessIntents: your company details, customers, products, prices, and tax rates. Print layouts turn a document into a PDF, invoice templates create draft invoices on a schedule, and entry templates prefill recurring journal entries. Whatever a template produces still goes through the normal approval flow.
Print layouts
Use Print on a document to view it or save it as PDF. The Print button asks which language you want.

How printing worksYour layout
Company name, VAT number, address, and bank details print from the company record, so complete it before the first printout.
An administrator downloads the layout from Documents, adapts it, and uploads it again. Each document type and language has its own template.

An upgrade never overwrites your template, so your adaptations stay in place.
Recurring work
These templates are recipes, not documents: they have no number and no status. Each one creates a normal draft that follows the usual approval flow.
A name, the customer, the lines, and a monthly, quarterly, or yearly recurrence. At 04:00 on the first day of each period, every active template creates a draft sales invoice that waits in the Inbox.
Open the workflowTurn any sales invoice into a template in one step. Untick Active to pause a subscription, or edit the lines to change the price from the next period.
Read the guideSave recurring journal entries such as rent, bank fees, and accruals. Create Entry prefills the header of a new draft entry; for now, the lines are added on the draft.

Export and Print sit on the toolbar of every list and report.
Export downloads the rows exactly as you see them, with the current search and filters, names instead of codes, and formatted dates. The file opens straight in Excel, Cyrillic included.
Print on a list or report opens a clean view that you can print or save as PDF from the browser.
Trial balance, customer and supplier balances, overdue invoices, revenue, and spend export and print the same way, within the selected date window.
Open journal and reportsBefore the first printout
Templates print what the records contain, so these settings decide how every document looks.
Replace the “My Company” placeholder with the legal name, VAT number, address, IBAN, BIC, and bank name. They print on every document.
Check the counters under Settings → Document Numbering, for example to continue from the last number in your previous system.
The shipped VAT rates (20%, 9%, 0%, and exempt) are defaults. Verify them against your local rules before the first invoice.
Decide whether the standard layout is enough, or adapt it yourself or with the team.
