Quotations
The offer you send a customer: a priced document with line items from your product catalog, a validity date and terms. When the customer accepts, one click turns it into a Sales Order.
Where you find it: the CRM sidebar group (Quotations); bundled by Construction, Professional Services, Wholesale. A rep's own offers appear in the Personal shell (My Quotations).
What you can do
Quotations
- You fill in the date, the customer, an optional valid until date, the currency, the payment method and free-text conditions. The owner is the responsible rep; the opportunity link ties the offer into the pipeline (filled automatically when the offer is created from an opportunity).
- Line items: pick a product — its price, unit and tax rate fill in automatically (all editable) — then set the quantity and an optional discount. The line net / VAT / total calculate as you type; the document totals footer keeps the header sums.
- Automatic: a
QT…number on save; status starts at DRAFT. - Status pill / lifecycle — per-record buttons: DRAFT → (Mark Sent) → SENT, then the customer's answer: Accept (→ ACCEPTED) or Decline (→ REJECTED). ORDERED is never set by hand.
- Mark Sent actually sends it. The offer's PDF — the same one the Print button produces — is e-mailed to the customer's address, with a covering note naming the offer number, the total and the date it is valid until. A customer with no e-mail address on file simply gets nothing sent (the status still moves), and a mail problem never blocks the status change. Sending needs the instance's outgoing-mail configuration.
- Automatic expiry. While an offer is still open, when its valid until date passes it flips to EXPIRED by itself — no button needed (the manual Mark Expired remains as an override). Editing valid until moves the deadline; an offer without one never auto-expires.
- Follow-up task. Every offer opens a Follow Up task in the Sales group's Inbox showing the offer's number, dates, total and customer. The moment the deal resolves — Accept, Decline or Generate Sales Order — the follow-up is cancelled automatically: the task leaves the Inbox and the expiry timer is disarmed, so an answered or converted offer can never later flip to EXPIRED. Complete the task with Done yourself when you have simply closed it out.
- Generate Sales Order (the convert): clones the header and every line item into a new Sales Order (which gets its own
SO…number, starts DRAFT and enters its own confirmation flow), and flips the quotation to ORDERED. - Duplicate: a revised offer is one click — a copy with a new number, back in DRAFT.
Printing
Quotations print to a branded standard layout. Open the document and use Print to view it or save it as PDF; the template lives under Documents and can be customised per company. See how printing works for the shared mechanics. The layout ships in English and Bulgarian — the Print button asks which language you want. On the Bulgarian printout your own company's details (name, address, manager/МОЛ, bank) come from the local-language fields of the company profile (see Companies); the customer's details print as you entered them.
Reports & dashboard
Which offers count. Quoting figures cover every offer you actually sent - sent, accepted, rejected, expired and ordered. "We quoted 40,000 this month" means what you put in front of customers, so a rejected or expired offer still counts; an offer you are still drafting was never quoted to anyone and does not. If you want only offers still in play, that is Open Quotations. Quotations by Status shows every offer, each status in its own row.
